Privacy Policy

In short

We use your details to run your account, trips and community. Our analytics uses no cookies, stores no IP addresses and resets its anonymous visitor count each day.

What we collect

We process account and sign-in details, profile and onboarding answers, bookings and squad activity, messages, dispatches, photos and an approximate city where you choose to share it. We do not need precise location for a profile. Maps may use location only when you grant your browser permission.

Purposes and legal bases

We use account, booking and message data to provide the service (contract); safety, fraud prevention, service improvements and minimal analytics for our legitimate interests; and optional communications or permissions with consent where applicable. You may withdraw consent without affecting earlier lawful use.

How we measure

We count pages with first-party, cookieless analytics. A daily-rotating salt hashes connection details into a session count that resets each day. We never store raw IP addresses or browser user-agent strings for this purpose. We skip Do Not Track and Global Privacy Control signals. No advertising cookies or third-party trackers are used.

Recipients and transfers

Service providers may process data for us, including Lovable Cloud (hosting and authentication), Mapbox (maps), and an email provider when email delivery is live. Mapbox receives network requests when maps load. Where data is transferred outside the EEA, we rely on applicable safeguards such as adequacy decisions or standard contractual clauses, as appropriate.

Retention

We keep account and community content while your account is active, then delete or anonymise it when no longer needed, subject to legal obligations or disputes. Booking records may be kept for applicable accounting and legal limitation periods. Daily analytics session identifiers reset each day; aggregate counts may be retained longer. We will publish more specific periods before paid bookings open.

Your rights

You may request access, rectification, erasure, restriction, portability and object to processing based on legitimate interests; you can withdraw consent at any time. Contact the privacy address above to exercise these rights. Settings shows “Download everything” and “Delete account” actions, but these self-service actions are not yet operational; please email us instead. We may need to verify your identity.

Complaints and children

You can complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données) at www.dataprotectionauthority.be. ScoutGrid is not intended for anyone under 18.
